Credential files destroyed after 10 years

The University recently changed its credential file policy. If a credential file is not used or updated within 10 years, it will be destroyed. Previous policy gave students 20 years before files were destroyed.

Credential files are maintained by KU for School of Education graduates with letters of recommendation, official transcripts and contact information. The files serve an important role in the job application process at most K-12 schools. Alumni are strongly encouraged to update their credential file with new letters, current address, phone number and other information periodically and especially before having their file sent to a potential employer.

Graduates may add new letters of reference to their file at any time, whether or not they are currently conducting a job search. To update, alumni should send the University Career Center written notice (by mail or e-mail) to add or remove certain letters. All necessary forms may be obtained at the Career Center Web site.

Alumni are also encouraged to periodically update their credential file so graduates will be prepared to apply for jobs at short notice. Keeping the file up to date allows alumni to quickly respond to unplanned or unexpected opportunities.

There is no charge for updating a file, and employers have indicated that letters of recommendation that are at least five years old are of limited value to them. They prefer to have letters from the most recent experiences. Keeping files current before a job search will eliminate the last minute rush to supply employers with new letters.
